Why you need a BOL vault
A bill of lading is the legal contract between shipper and carrier. It documents what was shipped, the declared condition, and the delivery terms. When a freight claim arises 30 days after delivery, or when a receiver disputes a shortage 2 weeks later, the BOL is the primary evidence. Losing it means losing leverage.
Most shippers store BOLs as email attachments, PDFs on shared drives, or printed copies in filing cabinets. That works until you need to find a specific document from 6 months ago across thousands of shipments. A vault with search, filtering, and instant access eliminates that problem.
How secure sharing works
When you share a BOL from the vault, the system generates a unique link with an expiration timer you control. The recipient can view and download the BOL without accessing your vault or seeing other documents. After expiration, the link returns a 404. No data leaks, no permanent access grants.
This matters when you need to share documentation with receivers, brokers, insurance adjusters, or customs agents but do not want to expose your full shipment history or give ongoing access to your records.
BOL retention best practices
The Carmack Amendment governs carrier liability for interstate freight in the US. Shippers have 9 months from delivery to file a damage or loss claim, and 2 years from claim denial to file a lawsuit. That means your BOLs need to be retrievable for at least 2 years, and ideally longer for audit and compliance purposes.

What is a BOL vault?
A BOL vault is a secure document storage system for bills of lading. It keeps a searchable history of every BOL you generate, so you can find past shipment details, share documents with receivers or brokers, and rebook recurring lanes without re-entering all the shipment information.
How long are BOLs stored in the vault?
BOLs are stored in your browser's encrypted local storage indefinitely. They persist across sessions as long as you use the same browser and do not clear your site data. For permanent cloud-based storage, Warp shippers can access their full BOL history through the Warp platform.
Can I share a BOL with someone securely?
Yes. The vault generates expiring share links that allow recipients to view the BOL without accessing your full document history. You control the expiration window. Once expired, the link stops working.
How do I rebook a shipment from the vault?
Open any stored BOL and click rebook. The system pre-fills the origin, destination, commodity details, and pallet specifications from the original shipment. Update any fields that changed and generate a new BOL.
Is my data encrypted?
Yes. Documents are encrypted at rest in your browser storage. Share links use unique tokens that expire after the time window you set. No BOL data is transmitted to external servers unless you explicitly share a link.
Can I export all my BOLs at once?
Yes. The vault supports bulk export. Select multiple BOLs or export your entire history as a ZIP file of PDFs. Useful for audits, quarterly reporting, or migrating records to a TMS.
